Privacy Policy
This policy explains what personal information IslandWeb Studios ("we", "us", "our") collects when you use our website at islandwebstudios.net or work with us as a client, why we collect it, and what we do with it. We try to keep this short and honest. If anything is unclear, email isaacxu2008@gmail.com and we'll explain.
1. What we collect
We only collect information that you give us directly, or that's needed to deliver our services:
- Contact form submissions. Your name, email address, phone or WhatsApp number (if provided), the service you're asking about, and your message.
- Email correspondence. Anything you send us by email, including attachments.
- Client project information. Materials, login credentials, content, images, brand assets and any other files you share with us so we can build your website or app.
- Basic server logs. When you visit this site, the hosting provider records standard request data (IP address, browser type, page requested, time). We use this for security and troubleshooting only.
We do not use advertising cookies, behavioural tracking pixels, or third-party analytics that profile you.
2. How we use it
- To reply to your enquiry and send you a quote.
- To deliver the services you've hired us for — building, hosting, maintaining or improving your website, app, or related work.
- To send you project updates, invoices, and occasional service-related emails. We don't send marketing emails to people who haven't asked for them.
- To meet our legal and tax obligations in Fiji.
3. Who we share it with
We don't sell your information. The only parties who may process your data on our behalf are the tools we use to actually run the business:
- Formspree — delivers contact-form submissions to our email inbox. (their policy)
- Email provider (Google Workspace / Gmail) — stores email correspondence with you.
- Web host — serves this website and stores server logs.
- Payment processor — if you pay us by card or online transfer, your payment is handled by the relevant bank or payment service. We don't store full card details.
We may also disclose information if required by law, a court order, or to defend our legal rights.
4. How long we keep it
Contact-form submissions and project communications are kept for as long as we're working with you, plus a reasonable period afterwards (typically up to 7 years) to support your project, handle warranty issues, and meet tax record-keeping requirements. You can ask us to delete records earlier — see "Your rights" below.
5. Security
We use reputable providers (encrypted email, HTTPS on this site, password-protected systems) and apply common-sense access controls. No system is perfectly secure, but we take reasonable steps to protect what you share with us. If a breach affects your data, we'll notify you promptly.
6. Your rights
You can email us at any time to:
- Ask what personal information we hold about you.
- Request a copy of it.
- Correct anything that's wrong.
- Ask us to delete it (subject to legal record-keeping obligations).
- Withdraw consent for us to contact you.
Send requests to isaacxu2008@gmail.com and we'll respond within 30 days.
7. Children
This site and our services are not directed at children under 13. We don't knowingly collect information from children.
8. Changes to this policy
If we update this policy, we'll change the "Last updated" date at the top. Material changes will be highlighted on the page for a reasonable period.
Terms of Service
These terms govern your use of this website and any services you hire IslandWeb Studios to provide. By using the site or engaging us, you agree to them. If we sign a separate written agreement or statement of work with you, that document takes precedence over anything below that conflicts with it.
1. Our services
We design and build websites, mobile apps, e-commerce stores, booking systems, AI chatbots, logos and brand assets, and provide SEO and security services. The exact scope of work for any client engagement is set out in a written quote or proposal that we send you before we start.
2. Quotes & engagement
- Quotes are valid for 30 days from the date we send them, unless we say otherwise in writing.
- Work starts once you've accepted the quote in writing (email is fine) and any required deposit has been paid.
- Anything not listed in the quote is considered out of scope. We're happy to add it, but it will be quoted and billed separately.
3. Payment
- For most projects we ask for a deposit before starting (typically 50%), with the balance due on completion before launch or delivery of source files.
- Larger projects may be split into milestone payments — this will be set out in your quote.
- Invoices are payable within 14 days of the invoice date, unless agreed otherwise.
- Recurring services (hosting, maintenance, support retainers, SEO) are billed in advance on a monthly or annual basis.
- Overdue invoices may incur a late fee and may pause active work until paid.
- Quotes are in Fijian Dollars (FJD) unless otherwise stated.
4. Your responsibilities
To keep projects on schedule, we need you to:
- Provide content, images, brand assets, and any required logins on time.
- Give clear feedback within a reasonable window (usually 5 business days per review round).
- Make sure you have the rights to anything you give us — text, photos, logos, fonts, third-party material, etc.
- Pay invoices on time.
If a project stalls because we're waiting on you for more than 30 days, we may pause it and resume at a later date subject to our availability.
5. Revisions
Each project quote specifies how many rounds of revisions are included. Additional revisions, scope changes, or new features after sign-off are quoted separately.
6. Intellectual property
- Your content stays yours. Any text, images or material you provide remains your property.
- Final deliverables are yours. Once you've paid in full, you own the final website, app, design files or other deliverables produced under your engagement.
- We keep our own toolkit. Generic code libraries, internal frameworks, components, methodologies and know-how we use to build your project remain ours, and we may reuse them for other clients.
- Third-party assets. Some projects use third-party fonts, plugins, stock imagery or libraries that are licensed (not owned) by you. Where licensing fees apply, they're either included in your quote or noted separately.
- Portfolio rights. We may show finished work in our portfolio, on this site, and in marketing materials, including the client's name and a link to their site, unless you ask us in writing not to.
7. Warranty & bug fixes
We back our work. For 30 days after launch, we'll fix bugs in code we wrote at no extra cost. After that, ongoing changes, new features, third-party plugin issues, content updates, and breakage caused by changes you or others make to the site are handled through paid maintenance or hourly work.
8. Cancellation
Either party can end an engagement in writing. If you cancel a project after work has started:
- Deposits already paid are non-refundable.
- You'll be invoiced for any work completed beyond the deposit, at the rates in your quote.
- We'll hand over the work-in-progress for any portion you've paid for in full.
9. Limitation of liability
We do our best work, but we can't guarantee specific business outcomes (search rankings, sales, traffic, etc.). To the maximum extent permitted by law, our total liability for any claim arising from your use of this site or our services is limited to the amount you have actually paid us in the 12 months before the claim arose. We are not liable for indirect or consequential losses such as lost profits, lost data, or business interruption.
10. Third-party services
Many projects rely on external services (hosting providers, payment processors, email services, plugins, APIs). We choose reputable providers, but we're not responsible for outages, price changes, policy changes or failures of those services.
11. Governing law
These terms are governed by the laws of the Republic of Fiji. Any dispute that can't be resolved amicably will be handled by the courts of Fiji.
12. Changes to these terms
We may update these terms from time to time. The "Last updated" date at the top of the page will change. Continued use of our site or services after an update means you accept the revised terms. Active client engagements remain governed by the terms in force when they began.
